AR Automation Features Checklist

The AR automation features that matter most are contract-aware reminder sequencing, direct ledger import, an audit trail, and native payment integrations. Ask every vendor the specific question in the checklist below before you buy — a neutral answer works even if you end up buying elsewhere.

This checklist is deliberately vendor-neutral: each row explains why the feature matters and gives you a specific question to ask any vendor, including us. A good answer is a good answer regardless of who gives it.

What should you look for in AR automation software?

FeatureWhy it mattersQuestion to ask a vendor
Reminder sequencingA consistent, escalating cadence recovers more invoices than ad hoc manual chasing, and never lets an account slip through. Can I configure a multi-stage sequence with custom timing per stage?
Contract-aware escalationLate fees and interest must match what the customer contract actually allows, or the charge risks being unenforceable.Does escalation respect contract-specific late-fee and notice-period terms, or is it one-size-fits-all?
Ledger / invoice importManual re-entry of invoices from your accounting system creates errors and delays the start of a reminder sequence.Which accounting systems or file formats can you import directly, and how often does it sync?
Multi-currency supportInternational customers need reminders and totals shown in the invoice's original currency, not converted to yours.Do reminders and totals display in the invoice's original currency, or only in a single base currency?
Audit trailDispute resolution and compliance both require a dated, tamper-evident record of every reminder, fee, and payment. Is there an exportable log of every action taken on an invoice, including who or what triggered it?
Payment integrationsA one-click payment link inside the reminder itself measurably increases response rate over "please pay by bank transfer."Which payment processors are natively supported, and is there a transaction fee on top of the subscription?
Collections/partner handoffAccounts that genuinely need agency or legal escalation lose context in a manual handoff — dates, promises, and disputes. Can the tool package a referral file (contact history, contract, invoices) automatically for a partner?
Aging & reporting visibilityYou cannot manage Days Sales Outstanding without real-time visibility into where balances actually sit today.Does it produce a real-time aging report broken out by customer and age bucket?

How should you weigh these features?

Start with reminder sequencing and ledger import — without those two, you are not automating anything, just adding a second place to track invoices. Contract-aware escalation comes next: it is the difference between a tool that protects you and one that creates liability. Everything else on the list becomes relevant as your business scales into multi-currency customers, larger volumes that need reporting visibility, or accounts that eventually need partner escalation.

Questions

Do I need all of these features on day one?

No. Reminder sequencing and ledger import are the two that matter immediately — everything else (multi-currency, partner handoff) only matters once you hit that specific situation. Buy for where you are, but confirm the roadmap covers where you are headed.

What is the single most important feature to check first?

Contract-aware escalation. A tool that charges a flat late fee regardless of what your contract actually says can create real legal exposure, while a tool that respects your terms protects you by default.

How do I evaluate contract-aware escalation without reading the vendor's code?

Ask for a live demo with one of your actual contracts. A vendor that can show the fee or notice period changing based on your specific terms has built the feature for real; a vendor that can only describe it in the abstract probably has not.

Should pricing include payment processing fees?

Ask explicitly. Some platforms quote a low subscription price but add a percentage fee on every payment collected through their link, which can dwarf the subscription cost at volume.

Is a manual, spreadsheet-based process ever enough?

For a handful of invoices a month, yes. Once you are tracking more than a dozen open invoices at a time, the reminder cadence in a spreadsheet reliably slips, and that delay is usually more expensive than any tool's subscription fee.
